Workplace Policy

For Online Training Participants, Trainers, and Employees of GyanKendra

1. Purpose & Scope

GyanKendra is committed to maintaining a respectful, safe, professional, and productive learning and working environment — whether in person, online, or hybrid. This Workplace Policy sets out the standards of conduct expected from everyone connected to GyanKendra, including:

Training Participants
Students and learners enrolled in any GyanKendra program
Trainers & Instructors
Individuals delivering training, mentorship, or instruction
Employees & Staff
Full-time, part-time, and contract members of the GyanKendra team

This policy applies to all interactions conducted through GyanKendra—including live online classes, recorded sessions, discussion forums, chat groups, email, video calls, on-campus activities, and any GyanKendra-affiliated event.

2. General Code of Conduct

Everyone connected to GyanKendra is expected to:

✓Treat all participants, trainers, and staff with courtesy, dignity, and respect, regardless of background, identity, or experience level.
✓Communicate professionally in all written and verbal interactions, including chats, emails, and forums.
✓Act with honesty and integrity in all academic, professional, and administrative matters.
✓Follow reasonable instructions and schedules communicated by GyanKendra staff and trainers.
✓Report concerns, misconduct, or violations of this policy promptly and in good faith.

3. Policy for Training Participants

3.1 Attendance & Punctuality

Participants are expected to join live sessions on time, remain present for the full duration, and inform their trainer in advance of any planned absence. Regular attendance is important for progressing through the 20-week structured learning path.

3.2 Online Session Etiquette

During live online classes, participants should:

Keep microphones muted unless speaking, to minimize background noise.
Use appropriate display names and, where required, keep cameras on for engagement.
Use chat and Q&A features respectfully and stay on topic.
Avoid recording, screenshotting, or sharing session content without the trainer’s permission.

3.3 Academic Integrity

All assignments, exercises, and projects submitted as part of training must reflect the participant’s own work. Plagiarism, submitting another person’s work as your own, or misrepresenting project contributions is a violation of this policy and may result in disqualification from the internship opportunity.

3.4 Respectful Participation

Participants must not engage in bullying, harassment, discriminatory remarks, or disruptive behavior toward trainers or fellow participants, in live sessions, chat groups, or any GyanKendra communication channel.

4. Policy for Trainers & Instructors

4.1 Professional Delivery

Trainers are expected to deliver sessions punctually, prepare materials in advance, and follow the agreed curriculum for their assigned domain (AI, Data, Cloud, Cybersecurity, Software Development, or Program Management). Session content should be accurate, current, and appropriate for the learner group.

4.2 Fair & Respectful Treatment of Learners

Trainers must treat all participants fairly and without favoritism, bias, or discrimination. Feedback on assignments and projects should be constructive, timely, and consistent across all learners.

4.3 Appropriate Boundaries

Trainers must maintain a professional relationship with participants at all times. Personal, romantic, or financial relationships with current participants, and any form of favoritism connected to such relationships, are not permitted. Trainers must not request or accept personal favors, gifts, or payments from participants outside official GyanKendra channels.

4.4 Confidentiality of Learner Information

Trainers must not share participant contact details, performance records, personal information, or session recordings with third parties, or use them for any purpose outside their training responsibilities at GyanKendra.

5. Policy for Employees & Staff

5.1 Working Hours & Availability

Employees are expected to be available during their agreed working hours, respond to internal communications within a reasonable timeframe, and inform their manager in advance of planned leave or unavailability.

5.2 Remote & Hybrid Work Conduct

Employees working remotely are expected to:

Maintain a professional environment and appearance during video calls with participants, trainers, or clients.
Secure company devices, accounts, and data using strong passwords and approved security practices.
Use company systems, software licenses, and resources only for legitimate GyanKendra business.

5.3 Conflicts of Interest

Employees must disclose any outside employment, business interest, or relationship that could reasonably conflict with GyanKendra’s interests, including any personal relationship with a training participant or vendor that could affect impartial decision-making.

5.4 Use of Company Resources

Company email, learning management systems, communication tools, and equipment are provided for work-related purposes. Incidental personal use should be minimal and must never interfere with job responsibilities or violate any other section of this policy.

6. Anti-Harassment & Non-Discrimination

GyanKendra has zero tolerance for harassment, discrimination, bullying, or retaliation of any kind. This applies equally to participants, trainers, and employees, in every setting — live classes, recorded sessions, chat platforms, email, and in-person events.

Prohibited conduct includes, but is not limited to:

Unwelcome comments or jokes based on gender, race, religion, caste, nationality, age, or disability
Sexual harassment, unwanted advances, or inappropriate messages
Bullying, intimidation, or aggressive behavior toward learners, trainers, or staff
Retaliation against anyone who raises a concern or participates in an investigation in good faith

Anyone who experiences or witnesses such conduct is encouraged to report it using the process described in Section 9 below.

7. Confidentiality, Data Privacy & Intellectual Property

7.1 Confidential Information

Curriculum materials, internal documents, business plans, and any information marked or reasonably understood to be confidential must not be shared outside GyanKendra without authorization.

7.2 Personal Data

Personal information collected from participants, trainers, or employees (such as contact details, attendance records, and performance data) will be used only for training administration, communication, and internship placement purposes, and will be handled in line with applicable data protection practices.

7.3 Intellectual Property

Training materials, recorded sessions, slide decks, and curriculum content created by GyanKendra or its trainers remain the intellectual property of GyanKendra. Projects built by participants during training remain their own work and may be used in personal portfolios, unless developed under a specific internship or client agreement stating otherwise.

8. Use of Online Platforms & Technology

All training is delivered using GyanKendra-approved video conferencing, learning management, and communication tools. The following rules apply to all users of these platforms:

Sessions may be recorded by GyanKendra for quality and reference purposes; participants and trainers will be notified when recording is active.
Login credentials, class links, and access codes are personal and must not be shared with anyone outside the enrolled batch.
Uploading or sharing offensive, illegal, or inappropriate material on any GyanKendra platform or group is strictly prohibited.
Attempting to disrupt sessions (e.g., unauthorized screen-sharing, spamming chat, or “zoom-bombing”) will result in immediate removal and may lead to further disciplinary action.

9. Grievance & Reporting Procedure

GyanKendra encourages anyone — a participant, trainer, or employee — to speak up if they experience or witness a violation of this policy. Reports will be handled promptly, confidentially, and without retaliation.

Raise it early. Where comfortable, first raise minor concerns directly with the trainer, manager, or person involved.

Submit a formal report. For harassment, discrimination, or serious misconduct, email

with a description of the incident, date, and any supporting details.

Review & investigation. GyanKendra will acknowledge the report, review the matter fairly, and may contact the reporter for further information.

Resolution. Appropriate action will be taken based on the findings, which may include coaching, warnings, removal from a program or role, or termination of the relationship with GyanKendra.

10. Disciplinary Action

Violations of this policy will be addressed proportionately to their severity and may include one or more of the following, depending on the role of the individual involved:

Verbal or Written Warning
For first-time or minor conduct issues.
Suspension from Sessions
Temporary removal from live classes or platforms pending review.
Disqualification / Removal
From the training program, internship eligibility, trainer role, or employment.
Legal Action
Where conduct violates applicable law.

11. Health & Wellbeing

GyanKendra recognizes that learning and working online come with their own challenges. Participants, trainers, and employees are encouraged to maintain healthy boundaries around screen time, take reasonable breaks during long sessions, and reach out for support if they are struggling to keep up with the pace of training or work.

If a participant or employee is facing personal circumstances affecting attendance or performance, they are encouraged to inform GyanKendra so reasonable accommodations can be discussed.

12. Policy Acknowledgement

By enrolling in a GyanKendra training program, delivering training on behalf of GyanKendra, or joining as an employee, individuals agree to abide by this Workplace Policy.

GyanKendra reserves the right to update this policy from time to time. Continued participation, training, or employment after an update constitutes acceptance of the revised policy.
